Creating Custom Attribute Groupings

Learn how to import custom attributes used to group accounts.


Overview

When viewing the Accounts page, grouping displays information categorized by custom attributes that you import into the DryvIQ Platform. Attributes are custom metadata applied to accounts or groups, so the groupings are relevant to your data. DryvIQ provides a starting template for download and use to build an attributes import file. The imported attribute file will populate the Group By Attribute list.

Exporting a Starting Template

You can export the current attributes and use the export as a template for an import. The export will include account and group attributes currently displayed in the grid. The first column in the export will be either "account" or "group" based on the permissions setting for the page, and the export will reflect any filtering applied to the page. The attribute export is only available when the Group By Attribute selection is set to the default value (Ungrouped).

Sorting the Grid Before Export

DryvIQ recommends sorting the grid using the "Account/Group Name" column before exporting. Otherwise, the CSV file will be sorted randomly.

 

 

  1. Click Import attributes.
  2. The Import attributes modal appears, and you will be on the Export current attributes tab.
  3. Click Export items. If the button is unavailable, verify that the Group By Attribute selection is set to (Ungrouped), the default value.

  4. A CSV file named “account-attributes.csv” will be downloaded to your default download location.
  5. The template will include at least an “account” or “group” column based on the page's Permissions setting. This column lists all accounts or groups identified by the available content scans. If additional attributes have been imported, they will be added as individual columns to the export, and the corresponding attributes for each account or group will be listed.

Creating an Import File

The attributes import must be a CSV file. DryvIQ will delete and replace existing attribute data with the attribute information in the uploaded file. You must include existing attributes in the CSV import file to prevent the loss of attributes when editing or adding new attributes. Exporting the existing attributes as instructed above will assist with this since it will include all existing attributes for accounts or groups. You can edit existing information or add new information as needed.

When creating the import file, ensure it meets the following criteria:

  • The first column header must be “account” when creating an account attribute import or “group” when creating a group attribute import. The import will fail and produce an error if your import does not follow this structure.
  • The remaining columns can be customized as needed.
  • All columns are treated as strings. An empty string is the same as having no value for a column. Deleting an existing value in the import file will delete the value when the file is imported into DryvIQ.
  • While an attribute import can contain more than 20 attribute columns, each account or group in the import can be assigned up to 20 attributes only. If an account or group is assigned to more than 20 attributes, the import will fail and produce an error.  
  • The maximum string length for attributes and key values is 100 characters. If any value exceeds 100 characters, the import will fail and produce an error.

Multiple Formatting Issues

If your import file has multiple formatting issues, DryvIQ will display an error for the first formatting issue found. Upon subsequent import attempts, DryvIQ will present another formatting error if one is encountered.

 

Below is an example of an account attribute import. The first line is the header line, which defines the attributes the file provides. Since this is an account import file, note that “account” is the first header value. The remaining lines provide the values for each account to be included. In this example, the import adds Name, Department Code, and Job Title attributes for each account.

Importing an Attribute File

You can import an attribute file from a local drive or a connection. If you receive an error during import, verify your file has either “account” or “group” as the first item in the header row based on the import type.

Import After a Content Scan

If you attempt to import an attribute file before a content scan has been completed in the DryvIQ platform, the import will fail because no file details or file permission aspects are available. DryvIQ will display the following message: “Could not save attributes, check that the ‘file_details’ and ‘file_ permissions’ aspects are available.”

 
  1. Click Import attributes. The Import attributes modal appears.
  2. Select Upload local file.

  3. Select if you will be importing account or group attributes.
  4. Click Browse to select the file. 
  5. Once selected, the file name displays in the field at the bottom of the modal for reference.
  6. Click Upload.
  7. You will see an “Attribute file uploaded successfully” message when the import is complete.
  8. Click the X in the top-right corner of the modal to close it.
  9. The attribute headers included in the file are now available in the Group By Attribute list.

Applying Groupings

The Group By Attribute list lists all the attributes included in the attribute import. No grouping is applied to the page by default, so “(Ungrouped)” displays. Click an attribute in the list to group the information by that attribute. All accounts that do not have the selected grouping will be included in the “-” group to indicate they do not have a value specified for the selected.
