Welcome to the DryvIQ Platform Knowledge Center! Our goal is to help you find all the answers to your questions related to your migration project.
To help you get started with the DryvIQ Platform, we’ve provided a basic data discovery project outline below, along with links to the relevant documentation in the knowledge center. Review the information throughout your project to ensure the best results.
1. Identify the accounts for your connections.
The account used to create the connection to a platform must have the proper permissions to read/write/update/delete content based on the actions you want DryvIQ to perform during data discovery. Refer to the connector documentation for the platforms you will be scanning to understand the account types and permissions required.
2. Create your connections.
You need to create at least one connection to each content storage platform you want to scan or to which you want to move content through intelligent migration and archive actions. You may need more connections depending on how you plan to structure your data discovery project—one administrator-level connection targeting paths underneath versus multiple user-level connections. The information required to make each connection depends on the platform. Refer to the connector documentation for your platforms to ensure you have the necessary information to create the connections.
3. Review entity types and create custom entity types.
An entity type is what DryvIQ detects during a content scan. The DryvIQ Platform comes with over 150 preinstalled entity types that cover a wide range of data, but you also have the option to create custom entity types. Review the preinstalled entity types to ensure you understand what is available and build any custom entity types required for your specific use case. You can create an entity type using regular expressions, keywords, or a combination of both.
4. Create your action sets.
DryvIQ supports numerous actions, from removing shared links and managing permissions to redacting sensitive information and archiving files. Action sets allow you to create a group of actions that can be added to a content scan or applied to individual files. DryvIQ works through the actions in the action set, automating activities to minimize the need for manual intervention. Determine what action sets you need and create them. Don’t worry! If you miss one, you can create action sets as part of the content scan setup if needed.
5. Create your content scans.
At this point, you are ready to create content scans. There are several approaches to this process. If you aren’t sure where to begin, you can use a progressive scan approach, where you create an initial set of scans that run a simple file inventory analysis to help you understand the basic information about your content. Based on this information, you can create advanced analysis scans that utilize a deeper scope to examine files, identify sensitive or critical information, and act on the files based on the results.
6. Review the scan results.
DryvIQ provides three different reporting tools for reviewing scan results. The one you use depends on how you want to review the results.
Think of the Content page as the raw data for your scans. It lists every item scanned and every detail DryvIQ could identify about the file—from the file’s content category to the individual entity types identified in the file. You can control which columns display, their order, and how the content in each column is presented. You can use basic or advanced filters to refine the results, and you can even save the modifications as a saved view, allowing you to apply the same refinements when viewing the content later quickly. Specialized saved views called document sets can be used to group content across multiple scans and rescan the content using different scan templates.
The Accounts page groups the scan results by user (account) and group. While the Content page helps you understand what content you have, the Accounts page reveals who owns the content. Customizable grouping allows you to view information based on attributes relevant to your company.
Insights are dashboards. They provide a consolidated, at-a-glance view of your content results. DryvIQ provides four preinstalled insights dashboards:
- File Inventory: Provides insights into the files and file formats identified by your content scans
- Document Categories: Helps you understand the composition of your data
- Sharing & Access Control: Provides insights into your shared content
- Stale Data: Offers valuable insights into outdated data within your system.
In addition to the prebuilt insights, you can build custom dashboards to provide insights on other areas of analysis that are important for your data discovery use cases.
7. Determine your next steps.
As scans continue to run, DryvIQ will analyze new content and add the results to the data catalog so the information is available for viewing. The steps you take next depend on your needs.
Create deeper scans: If you are taking the progressive scan approach, you will have identified the content that you want to analyze in more detail. You will adjust the content scan to include additional scan templates for further evaluation or create new scans to focus on a subset of content you saved as a document set.
Take action against content manually: Even if you assign action sets to your scans, you may find content you want to act on that fell outside the filters used for the action set in a scan. From the Content page, you can perform actions on content manually as needed.
Continue to review scan results: If you are interested in simply understanding your content, you will continue to review the Content, Accounts, and Insights pages as your scans continue to run.
